How to create a review template

In this article we'll show you how you get started with review templates.

Review templates.

Review themes are the basis for templates. When the themes are ready, you can start creating a template. Creating a review template is done via Reviews - under the Templates tab. This is also your overview page with all the templates you have created.

๐Ÿ’ก When you get started with a review template, you can also save it as a draft. On the overview page, you will see that the template also has a draft label. You will need to publish a template first before you can use it when deploying an evaluation session.

In addition to being able to create your own templates, you also have the option to import various templates that Learned makes available. You do this via the 'Import templates' button.

Creating a review template

When you want to create a template, click the 'Create template' button. You will then enter a focus mode where you can create the template.You can choose multiple languages for a template.

You select the languages you want to create the template in by clicking on the flags at the top of the screen. Also, by using the eye in the bar at the top, you will see the option to preview the template.

Finally, you can delete a template, save it as a draft, or publish it. There is also a built-in autosave that works immediately. So when you are working on a template and (accidentally) click away, what you already had on paper is saved as a draft and you can continue where you left off.

โ—๏ธNote: Due to the auto save option, new or duplicated templates get a draft status. Only when a template has the published status is it available to use for a review round.

Creating a template is divided into three steps

Step 1: Give the template a name

Step 2: Add questions to the template. For this, there is the option of creating a question yourself or importing a question from one of the themes.

โ—๏ธNote: When creating a new question for the template, you will always be required to link the question to a theme. This has to do with reporting. Themes are the basis of reporting. If a question would not have a theme, the question will therefore not appear in the reporting.

When importing questions into the template, you will see the different themes appear. You have the option of adding all questions associated with a theme directly to the template. Or you can open a theme using the 'Show all questions' button and then choose to add only a selection of the questions to your review template.

Preview questions

Once you have added the questions to your template, you can also click on a question from there to see the preview of a question.

In the preview, you will not only see what the question looks like for the employee, but you will also see what answer type it is, to which topic this question has been added and who should answer the question.

โ—๏ธNote: When you preview a question in the template, you also have the option to edit the question directly. If you do this, the change will be implemented in all templates this question is part of.

Step 3: Here you will see the ability to adjust how much a theme should weigh in the reporting. If you do not change anything in this step, all themes will have the same weight. If you turn on 'Adjust weighting per theme', you can indicate for each theme how much it should weigh in the average performance score.

โ—๏ธNote: You can also determine that certain themes are not weighted in the overall score. Only themes with a default rating scale are included in the theme weighting.

Editing a template

You have the ability to edit a template by opening the template and clicking 'Edit' in the upper right corner. You can also edit the template using the 3 bullets to the right behind the template on the overview page.

๐Ÿ’ก When you edit a template, it does not affect already published review cycles. The changes to the template only become visible the next time this template is used.

Deleting a template

In addition to editing a template, you also have the option to delete a template. You do this by opening the template and clicking 'Delete' in the upper right corner. You can also delete the template using the 3 dots to the right of the template on the overview page.

๐Ÿ’ก When you delete a template, it does not affect already published review cycles.

Viewing the template in the preview mode

When you have added all the questions and themes to the template, and you are curious to see how it will be filled in, you can use the preview view.

To do so, click on the eye in the top right corner of the template:

Here you see fill-in view of the form, as the employees will answer these questions in preparation for a possible interview. You can go through all the questions and edit the question directly if necessary, by clicking โ€˜Edit questionโ€™ in the top right.

You can also find the same example view in step 1, when creating a review cycle as Admin. To do this, first select the template you want to use.
